COVID-19 Updates

Resources for Employees Working Remotely

July 7, 2020

As you are aware, last month we shared the Campus Plan for Fall 2020 confirming that a majority of our faculty and staff will continue to work remotely throughout the fall 2020 semester. Given that this telecommuting requirement had to be extended for an additional period of time, we want to ensure that our faculty and staff have access to the following resources:

Ergonomic Chairs

Beginning July 1, the campus will provide employees who will continue to work remotely and may be experiencing continued ergonomic challenges with an option to receive an ergonomic chair delivered directly to your home. Please CLICK HERE to submit your request. (This process will require approval from your manager or department chair and in some cases Environmental Health and Safety if you are needing to work remotely on an intermittent basis. The chair will be purchased through Procurement and the expense will be charged directly to your department.). You will be responsible for assembly.

Personal Computers

All full-time faculty and staff should have access to a university laptop (or desktop if appropriate) while working remotely. You should not be using a personal device to access campus resources. Please contact your IT Liaison and Supervising Manager if you are still using a personal device. Arrangements will be made for the use of a university-owned laptop.

Keyboards, Mice and Monitors

For employees who will continue to work 100% remotely: you may take your keyboard, mouse, docking station and one monitor home to use while you are telecommuting.

For employees who are working on campus intermittently: your department may purchase you a keyboard and mouse and second monitor to use while you are working remotely.

For all technology needs, please coordinate with your IT Liaison and Supervising Manager and complete a Service Desk ticket FOUND HERE. Be sure to select “_Telecommute” (listed first) in the Destination Building Location field and add serial number information in the “other details” box for monitors. University property should not be removed from campus without manager approval and a signed home use permit. A Home Use Permit will be issued electronically once the Service Desk ticket is completed.

Reminders:

  • University property is to be used only to conduct state business.
  • Employees will be responsible for any loss and/or damage to State property due to negligence and/or unauthorized use.
  • Office furniture (desks, stand up stations, office chairs) are not to be removed from campus.
  • Printers are not to be removed from campus.

Office Supplies

Employees may access essential office supplies from their campus office with approval from their Supervising Manager. You will not be reimbursed for the purchase of any office supplies.

Phones and Voicemail

It is important that our students and colleagues can reach us during normal business hours whether we are working on or off campus. The university directory remains the best place to find campus contact information. Please learn about the options available to have your phone forwarded so that you are able to respond timely to inquiries and provide appropriate assistance. Visit the Technology Services working remotely webpage for additional tools and instructions.

Parking Permits

Faculty and Staff have the option to stop their monthly payroll parking fee deduction. The Parking Payroll Deduction form can be found HERE. There are no refunds for prior months of payroll deduction even though you may not have been on campus. Please keep in mind that your parking permit will be deactivated immediately after you submit the form. Do not discard your permit as you will need it when you reactivate your payroll deduction. If you visit the campus while your permit is deactivated, you will need to purchase a daily permit.

Learning Resources

During this time, we have an opportunity to embrace what is uniquely virtual and build new skills. A wide variety of professional development opportunities are available from Organizational Excellence and the Center for Faculty Excellence

Thank you again for all you are doing to support our campus community and our students during this unprecedented time.

Sincerely,

Debbie Adishian-Astone

Vice President for Administration and Chief Financial Officer
