Mass Email Request - Getting Started

Mass e-mail distributions allow you to send out a customized mail-merged text-only e-mail to a list of recipients (usually students). Such distributions are useful for official campus notices.

IMPORTANT: Because of the scope and complexity of mass e-mail distributions, the entire process can take from 5 to 10 business days to complete. Please allow sufficient time for this process when considering a mass e-mail distribution.

To prevent delays in processing, please read this document thoroughly before filling out the form on the next page.

Steps to Create a Mass E-mail Distribution Before Proceeding:

  1. You create the official notice and locate the related information.
  2. Send the message to University Communications for approval. You can obtain the destination e-mail address by calling University Communications at 82795.
  3. You will then be contacted by University Communications with notice that the official communication has been approved or not approved.

    IMPORTANT: Allow 2 to 5 business days for steps 2 through 4 to be completed by University Communications. 

  4. If you require a mail-merge operation (such as inserting the amount each student owes into the message sent to that student), determine who will be compiling the recipient list and associated information for each person on the list (Information Technology Services and the Technology Service Desk do not have access to student, faculty, and staff financial or other confidential information and, thus, cannot do this for you. The Campus Information Systems department at extension 85492 is generally in charge of this information).
