Below are examples of letters we have written to invite students and honor initiates to membership and acknowledgement letters to the students and honored individuals who responded to our invitation. There is also a letter inviting members to participate in the initiation event. Also below is a letter to the academic deans requesting their participation and a suggested letter for the academic deans to send to the invited students in their individual schools.

Invitation Letter to Qualified Students
Dear Scholar and Prospective Member:
Congratulations! This invitation to join the National Honor Society of Phi Kappa Phi comes in recognition of your excellent academic record at California State University, Fresno. The university members of our chapter are very proud of your accomplishments and are pleased to invite you to national and chapter membership in Phi Kappa Phi. We wish to praise you publicly. You are one of fewer than 6% of the students attending the university who are invited to receive this honor. We hope that you will accept our invitation and begin a lifetime affiliation with Phi Kappa Phi.
Phi Kappa Phi is the national honor society which honors scholars in all academic disciplines. At Fresno State, our community of scholars includes those from the arts and humanities, agricultural sciences, business, education, engineering, health sciences, natural sciences, social sciences, and graduate studies. Other honor societies, Phi Beta Kappa for example, often have the same high standards as Phi Kappa Phi, but do not recognize the full spectrum of studies present on a modern university campus.
Our national society awards 50 fellowships, currently $7,000 each, to Phi Kappa Phi members for the first year of graduate work, 30 runner-up awards, currently $1,000 each, and life memberships to all other successful fellowship competition nominees. The enclosed brochures describe our national honor society and local chapter in greater detail.
Your family and friends are welcome to witness your induction into Phi Kappa Phi by attending our Honors Reception and Initiation Ceremony. If you have guests you wish to invite, you must include $7 for each guest along with your check for $42 to cover your cost for the reception, national initiation fee and national and chapter dues at the time you submit your Permanent Record of Election cards.
No late registrations or payments and no additional guests will be accepted at the door on the evening of the initiation. We must insist on this since all reception and membership material arrangements must be made well in advance of the evening of the initiation.
Please RSVP before March 25, 1998 as your invitation indicates. Responses and checks received after this date will not insure that your name will appear in the initiation program. Academic Dean's Letter of Support to Invited Students
To Our Academically Successful Students:
The local chapter of the national Honor Society of Phi Kappa Phi has notified me that you are a candidate for this year’s induction to membership in the Society. By now you should have already received your invitation to join. Let me congratulate you. This is indeed an honor since less that 6% of the student body received this invitation this year.
I highly recommend that you accept this invitation to membership in the Society. There are few accolades given students to recognize their academic accomplishments these days. This membership does just that and will follow you the rest of your life. Membership in the Society can be used on your resume and is an important indication to prospective employers about your academic accomplishments as well as to your character and commitment to responsibility. The induction ceremony to be held on May 8, 1997 in the Satellite Student Union also serves to publicly recognize you for your accomplishment.

Letter Requesting Academic Deans to Contact Students
Again, I would like to request your help in contacting the students within your school who have qualified for membership in the national Honor Society of Phi Kappa Phi. I believe your contact is very important and will help to improve the rate of acceptance that we experienced last year.
Please find enclosed the listing of students from your school who qualified for membership. The listing covers the 1996 semesters for undergraduate and graduate students as determined from the SIMS data base. Names are listed alphabetically within each major and under the department of their major. Mailing labels are also included for your convenience. A numerical summary of qualified students, broken down by department, is also provided.
I have also enclosed a sample letter for your consideration which can be sent to each student. Hopefully, I have made your participation as easy as possible. If you have any suggestions or comments, please feel free to contact me.
As a reminder, the event will be held May 8, 1997 in the Satellite Student Union. I have already reserved the date on your calendar. There will be a reception at the time of registration, from 5 pm until 6 pm. The ceremony should begin shortly after 6 pm. I hope you will be able to personally attend to induct each of the students from your school. I will again provide you with a script and a general idea of the logistics of the evening at a later date.

Invitation Letter to Selected Honor Initiates
Dear Prospective Honor Initiate:
It is a distinct pleasure that I offer you an opportunity to become a member of the national Honor Society of Phi Kappa Phi. The Executive Board of the Fresno State chapter has selected you to be one of this year’s recipients of membership for your demonstrated support and promotion of academic excellence. Each year we select individuals from the faculty, administration and support staff who exemplify through their activities, above and beyond their expected responsibilities, the principles upon which the honor society was founded. Our induction has become a major forum on campus for the recognition of academic excellence achieved by our students, our faculty and our staff, and as such, we respectfully require that you attend to receive this recognition and membership.
The induction ceremony will be held in the Satellite Student Union on Thursday, April 30, beginning at 6 PM with a buffet reception. Enclosed for your inspection are informational materials about the national Society and the local chapter, this year’s initiate class and the campus members in your school or work area. If you have an opportunity, please visit our library displays, presented through the end of April. These are located in the lobby behind the president’s portrait and on the second floor across from the map room. The chapter will cover the cost of your initiation and the first year of your national and chapter dues as our token of appreciation for your support of academic excellence at Fresno State.
A representative of our chapter will be contacting you shortly. We request that you notify Sandra Griffin of your acceptance as soon as possible and no later that March 31, 1998. Invitation Letter to Members to Participate in the Initiation Event
The Executive Board and I would like to invite you to attend our Spring 1998 induction of this past year’s academically outstanding students. We are proud of our chapter’s successes and efforts to recognize and promote academic excellence at Fresno State. Our induction has become a major forum on campus for the recognition of academic achievement.
We would like to recognize you at this event as a Phi Kappa Phi member as well. We would also like you to welcome our new members by shaking their hands as they leave the stage. The Executive Board and I feel this would be a very fitting gesture of respect for their academic accomplishments by our members, at the same time allowing all our members on campus an opportunity to participate in the induction ceremony. This will also be an opportunity for you to meet the national president who will be participating in our ceremony this year.
Our chapter has just completed our most successful year of activity. As you may be aware, the national Society celebrated during 1997 the 100th anniversary of its founding. Our chapter was recognized during the centennial celebration held in New Orleans, receiving more national awards than any other chapter in the country--an accomplishment for which we are very proud. The Society’s ceremonial march unveiled during the centennial celebration was also composed by one of our campus members.
We hope you are also proud of our accomplishments and would like to participate. The event will be held on Thursday evening, April 30, beginning at 6 PM in the Satellite Student Union. A light buffet dinner will be served from 6 to 6:30 PM. The cost of your dinner will be covered by the chapter. Acknowledgement Letter to Students
Dear Phi Kappa Phi Initiate:
The California State University, Fresno Chapter of Phi Kappa Phi is pleased to acknowledge your acceptance of our invitation to membership in the Society. Your reservations have been made. We look forward to seeing you at the Initiation on Thursday, April 30, 1998, in the Satellite Student Union. Coats and ties for the men and dresses for the women are appropriate for the occasion.
The agenda begins at 6:00 PM with registration. Please allow time to register. The Buffet Reception will be held inside the Satellite Student Union from 6 PM until the program begins at 6:30 PM. The evening will close at 8:30 PM.
Please find enclosed a Pledge Ribbon. This ribbon may be worn on your left shoulder or lapel during the week prior to the initiation if you so choose. You may also wear it on your graduation gown at the commencement. We do request that you wear it at the initiation ceremony on April 30 to help us identify our initiates.
During the initiation, when your school is called, please form a line to your left of the stage. Present your card, which you will receive during registration, to the person at the first podium when it is your turn. Your name will be read as you walk to the center podium where you will be presented with your medallion. Please shake the hands of the presenters on stage and move to the right of the stage. A group photo will be taken at that time and you will receive a final applause. Then you may leave the stage and be seated. As you leave the stage you may be greeted by other Phi Kappa Phi members. Please remain in your seats until the program is over. This is common courtesy to all your fellow initiates and the initiation into membership is not complete until the president formally inducts you into Phi Kappa Phi at the end of the program. We appreciate your cooperation which will allow for a smooth flowing program.
The entrance to the Satellite Student Union faces South on Maple. Please ask your guests who will be driving to use Parking lots O and P on either side of Maple, as you turn South from Barstow as a first choice. Parking lot J is behind the Science Building to the East and is also available as a second choice.

Acknowledgement Letter to Honor Initiates
Dear Honored Phi Kappa Phi Initiate:
The California State University, Fresno Chapter of Phi Kappa Phi is pleased to acknowledge your acceptance of our invitation to membership in the Society. We look forward to seeing you at the Initiation Ceremony on Thursday, April 30, 1998, in the Satellite Student Union.
You and your guest(s) are invited to attend the entire evening’s events. The agenda begins at 6:00 PM with registration where you will check-in. The Buffet Reception also begins at 6 PM. The evening’s program begins at 6:30 PM and ends at 8:30 PM.

Your picture will then be taken after which you may leave the stage and return to your seat. At the conclusion of the event, we would like to have group photos taken, so we ask that you please remain.
The entrance to the Satellite Student Union is on the South side of Maple. Parking is available in lots O, P and J.
